With Qhub360’s Shift Automation, you can generate complete employee schedules in just a few clicks. This tutorial will guide you through the entire process — from preparing employee data to publishing your automated shifts.
To make sure shifts are allocated fairly and strategically, you can set priority rules.
Go to Settings > Business Configuration > Schedule Automation Rules.
Drag and drop different employee attributes (e.g., seniority, department, role, availability) to set priority order.
Click Save to apply your rules.
👉 This ensures that, during automation, Qhub360 considers your business preferences — for example, giving senior staff or specialized employees priority in scheduling.
Before you can automate shifts, every employee must belong to a department.
Go to Employee Management > Departments.
Add departments such as Reception, Management, Housekeeping, etc.
Assign each employee to the correct department.
👉 This step ensures that shifts are generated according to departmental needs, avoiding conflicts between roles.
The system also needs to know when employees are available to work. You can capture this in two ways:
Via the Qhub360 App (Employee Side)
Employees can log in to the Qhub360 mobile
Via the Admin Dashboard (Manager Side)
Go to Employee Management > Availabilities.
Click the “+” icon to add or adjust an employee’s availability.
👉 Without this step, the system cannot match employees to open shifts correctly.
Your hubs may provide required shift details in advance. These must be entered into the system before open shifts can be created.
Navigate to Hub Management > Hubs.
Press View Schedule Calendar.
Input the shifts as provided by the hubs (for example: required staffing hours per day).
👉 This sets the baseline demand that Qhub360 will use during automation.
Once departments and availability are set, it’s time to create open shifts. These are the slots that Qhub360 will automatically assign.
Navigate to Shift > Automatic Open Shift.
Click Create Open Shift.
Set the Date Range (for example, one week or one month).
Select the Hub where the shifts will apply.
You can generate shifts for one hub or multiple hubs at the same time.
👉 Think of this step as defining the “skeleton” of the schedule — the system will later fill it in with employees based on availability.
With everything in place, you can now generate your automated schedule.
Go to Shift Management.
Click the Generate button.
In one click, Qhub360 will automatically assign employees to open shifts.
Once shifts are generated:
The Generate button will disable (to avoid duplicates).
You’ll be redirected to the Generated Shift Options screen.
Review and adjust any assignments if needed.
Finally, click Publish.
👉 Once published, shifts are visible to all employees in their app and dashboard.
